1. I currently use a mobile phone number in my advertising, but customers are wary of ringing me as they don’t believe I am trustworthy. Can you provide me with a landline phone number?
Yes. We will provide you with a geographical land line phone number for any area you choose in Spain – all you need to do is tell us what region you require. E.g. Malaga, Madrid, Barcelona, Almeria, Alicante. This is your telephone number to use in your advertising and marketing material.
2. I already have both mobile and landline telephone numbers which I want to continue to use in my advertising. Can I still use Sovereign Office Solutions to answer my incoming calls?
Yes. Simply divert your existing numbers to your unique personal number supplied by Sovereign Office Solutions. Your calls will then ring in our office in Calahonda and will be answered by our receptionists in your company name.
3. What exactly will your receptionist say when she answers my incoming calls?
Our receptionists will answer the call in your company name or any other style you choose- your calls are handled to your exact requirements. A message is taken which is passed on to you in the method and timescale decided by you. Most importantly, the caller will remain unaware that the call is being answered anywhere other than in your office.
4. How and when will Sovereign pass my messages to me?
Your messages will be passed to you either by SMS, email or fax. You advise us how often and by which method you wish to receive them. Most clients prefer to have their messages sent by SMS immediately. However, we will meet your personal requirements.
5. How will you know enough about my business or trade to be able to take my calls?
We will ask you to complete a questionnaire about what you do, how you do it, your opening hours etc. We are your personal receptionists – we can only do this if we have some in-depth knowledge about your business or company.
6. Since you will know a lot about me, will you keep my information confidential?
Without question. We guarantee absolute confidentially.
7. I am a sole-trader but my wife runs a large company. Can Sovereign Office Solutions help both our businesses?
Yes. We deal with all types and sizes of business whether it be a sole-trader or a large national company based anywhere in Spain.
8. I would only need to use Sovereign Office Solutions on an ad-hoc basis to cover the times when my staff are on sick leave and holiday etc. Can you help me?
Yes. We can provide telephone reception cover for any period of time. All we need is an hours notice to get your organisation set up within our telephone and computer system. We can tailor our service to meet any criteria.
9. Is Sovereign Office Solutions restricted to a particular geographical area?
No. We provide our service for businesses based anywhere in Spain.
10. Can Sovereign Office Solutions help me with my paperwork, admin and accounts?
Yes. Full details of our other services can be found under the page entitled Office Solutions. In a nutshell, we can provide full office, administrative and accountancy backup which can be tailored to meet your individual needs.
11. How long does it take to get up and running with Sovereign Office Solutions?
We will provide you with your land-line telephone number within one hour and will have you up and running on our system within 24 hours.
12. What is Diary Management?
Diary Management is taking care of all your appointment bookings. Our unique diary management system is ideal for taking your customers calls to book restaurant tables, dentist and doctors appointments, hairdressing and beauty therapy appointments or visits to your clients. Using our in-house diary management system, we can book all your meetings and appointments. Even while you're busy, new bookings can be dealt with easily and professionally. Our Diary Management service is ideal for any business operating an appointment system.
13. What are the office hours you will open to take my incoming calls?
Our office hours are 10.00 to 18.00, Monday to Friday. Outside these hours and on National holidays, calls are answered by your personal voice mail which we dictate and tailor to meet your exact requirements. E.G you may want us to include an emergency number for your clients if you provide an out of hours emergency service. Any messages left by your clients will be forwarded to you first thing, the next working day.
14. What are the terms and conditions of Sovereign Office Solutions?
We do not lock you into a contract – our clients stay with us because they want to, not because they have to. All we require from our permanent clients is one months notice to terminate the service.
15. How do I pay for your service?
For our standard Virtual Receptionist service, payment is collect by direct debit on the first day of each month. Invoices / facturas are generated monthly and sent by email where-ever possible. Additional service are billed weekly with payment being collected by Direct Debit.
16. Do you charge a set–up fee for your service?
No. We charge a flat monthly fee. The only other charge is for any other Office Solution you may request.
